Each CatalogPilot invoice summarizes usage-based enrichment activity for a specific billing period. The description is designed to be readable at a glance, while still providing enough detail to trace every charge back to the system.

What the Description Represents

The invoice description follows this structure:

• Billing period
  
  The date range covered by the invoice (e.g., one week).
  
  
• Summary of enrichment activity
  
  A high-level count of what was processed during that period, such as:
  
  
• Fields enriched
  
• Images enriched and translated
  
• Products enriched and translated
  
• Variants enriched and translated
  
• Categories enriched
  

This is a summary, not a line-by-line ledger. CatalogPilot intentionally keeps invoices clean and readable rather than overwhelming merchants with raw logs.

Why It Appears as a Single Line Item

CatalogPilot bills enrichment usage as a single summarized line item per invoice period. This ensures:

• Clean, easy-to-understand invoices
  
• Totals that match exactly what was billed
  
• No confusion from dozens or hundreds of individual micro-charges
  

All detailed activity already lives inside the platform.

How to See the Full Breakdown

If you want to drill deeper into any number shown on an invoice:

1. Go to Billing → Usage
   This shows every enrichment action performed during the billing period.
   
   
2. Use filters and search
   Filter by date, subject (product, image, variant, category), or amount.
   
   
3. Click any activity entry
   You’ll see exactly:
   
   • What was enriched
     
   • When it occurred
     
   • Who initiated it
     
   • Whether it was assigned to an invoice
     
4. Cross-reference with Activity logs
   
   Activity logs elsewhere in CatalogPilot provide a complete timeline of approvals, edits, enrichments, and system actions.
   

Key Things to Know

• Invoice totals always reflect approved enrichment activity only
  
• Translations are billed separately (when applicable) and summarized in the description
  
• Subscription fees are not included in usage invoices and are billed separately
  
• A $0.00 balance simply means the invoice has already been paid or credited

The Billing section provides a clear, transparent view of your subscription status and all usage-based enrichment activity. CatalogPilot separates subscription fees from usage fees so merchants can easily understand what is recurring versus what is consumption-based.

Subscription Status

At the top of the Billing page, you’ll see your current subscription details:

• Status – Active or Paused
  
• Plan – Your current tier (e.g., Tier 3)
  
• Billing Interval – Monthly
  
• Renewal Date – Shown in UTC
  

Click Manage Subscription to make changes. This action securely opens Stripe, where all subscription changes are handled. CatalogPilot does not store or manage payment credentials directly.

Current Cycle Usage

Below your subscription details is the Current Cycle Usage summary. This reflects usage-based enrichment costs only for the current billing period.

Usage is broken down by enrichment type:

• Images
  
• Products
  
• Variants
  
• Categories
  

For each type, you’ll see:

• The total cost (shown to three decimal places)
  
• The number of items enriched
  
• The number of items translated (if applicable)
  

Important:

Pricing is shown internally to the third decimal place for accuracy.

Final invoices are rounded down to standard two-decimal currency values when billed.

Weekly Usage Total

On the right side, you’ll see the weekly enrichment total for the current cycle.

• This amount represents dynamic enrichment usage only
  
• It does not include your subscription fee
  
• Usage is billed weekly
  
• Subscription charges are invoiced separately by Stripe
  

Usage Activity Log

The table below the usage summary provides a detailed activity log showing:

• Date & Time (UTC) – All activity is logged in UTC for consistency
  
• Subject – The specific product, image, variant, or category affected
  
• Usage Type – The type of enrichment performed
  
• Amount – Cost for that specific action
  
• Status – Pending or invoiced
  

Clicking the Subject (such as an image or product reference) will take you directly to that item within CatalogPilot.

Clicking the Usage Type reveals internal details about what was generated during that enrichment event.

Billing Transparency

Not every action in CatalogPilot is billable. Only enrichment-related actions generate usage charges. All billable and non-billable actions are logged for transparency.

This design ensures merchants always know:

• What was enriched
  
• When it happened
  
• What it cost
  
• Where it applies

The Usage tab provides a detailed, item-level view of all enrichment activity that contributes to usage-based billing. While the Billing tab summarizes costs at a high level, the Usage tab shows the granular breakdown of each enrichment action as it occurs.

This view is designed for transparency and traceability, not configuration.

Usage Table Overview

Each row in the Usage table represents a single enrichment event. The table includes the following columns:

• Date / Time (UTC)Displays when the enrichment occurred. All activity is logged in UTC for consistency across regions.

• Prices may appear to three decimal places internally for accuracy.

• Status
  
  Shows the billing state of the usage item.
  
  
• Assigned to Invoice means the enrichment has been recorded and queued for the next billing cycle.
  
• Items remain in this state until the weekly invoice is generated.
  
  

How Usage Relates to Billing

• Usage entries appear immediately as enrichment actions occur.
  
• Once recorded, they are assigned to the upcoming invoice.
  
• Usage is billed weekly, separate from subscription charges.
  
• Subscription fees are handled independently and do not appear in the Usage table.
  

Navigating Usage Details

• Clicking on a Subject opens the related product, image, or category.
  
• Clicking on the Usage Type reveals internal details about what fields were generated during that enrichment event.
  
• This allows merchants to audit exactly what was enriched, when, and at what cost.
  

Important Notes

• Not every action in CatalogPilot is billable.
  Only enrichment-related actions generate usage entries.
  
• All actions—billable or not—are logged elsewhere for system transparency, but the Usage tab focuses exclusively on billable enrichment events.

The Invoices tab provides a clear, chronological record of all invoices generated for your CatalogPilot account. This section focuses on billing transparency and record-keeping, allowing merchants to review past charges, confirm payment status, and download invoices for accounting purposes.

Invoice List Overview

Each row in the invoice list represents a single invoice, typically generated weekly for usage-based enrichment activity.

The table includes the following columns:

• Invoice Number
  
  A unique invoice identifier using the CPILOT-YYYYMM-WEEK format.
  This clearly distinguishes CatalogPilot invoices from other billing systems and aligns them to specific usage periods.
  
  
• Period (UTC)
  
  The date range covered by the invoice.
  This reflects the enrichment activity performed during that specific week.
  
  
• Amount
  
  The total usage-based cost for the invoice period.
  
  
• This amount reflects dynamic enrichment usage only.
  
• Subscription fees are not included here and are billed separately.
  
  
• Status
  
  Indicates the current state of the invoice:
  
  
• Active – Invoice is generated and awaiting payment.
  
• Paid – Invoice has been successfully paid via Stripe.

Billing Cadence

• If no enrichment activity occurs during a given week, no invoice is generated.

• All payments are processed automatically through Stripe, using the payment method on file.

Clicking Access Billing Portal securely redirects you to Stripe’s hosted billing environment, where you can:

All actions performed in the billing portal are handled directly by Stripe using industry-standard security and compliance controls.
