A payment gateway is an e-commerce application provider service that authorizes payments for e-businesses and online retailers.

It is the connection between your LightSpeed web store and your credit card processor.

A payment gateway protects credit card details by encrypting sensitive information, such as credit card numbers, to ensure that information passes securely between the customer and the merchant and also between merchant and payment processor.

If you operate a site that sells online you will need to sign up with a Gateway provider to process credit cards online. Even if you have signed up with a credit card processor for your in-store LightSpeed Point of Sale, you will need to sign up a for a second account for online transactions. Card present transactions and Card Not Present transactions must be processed through different payment gateway accounts.

LightSpeed allows the following payment gateways you see in the screenshot below:

Free Payment Gateway Providers

Certain providers like Authorize.net will charge monthly fees to sign-up for a Gateway service. Other providers will include the gateway free of charge.

New Custom Payment Gateway Development

AdVision is able to integrate a custom payment gateway into your web store for an additional charge. The estimated timeline to build and test a new payment gateway is 4+ weeks due to the amount of testing and research that is typically required.

Here are the payment gateways we have built integrations for in eCom:

Affirm

AfterPay

AlphaPay

American Express China

Authorize.net AIM

Bambora

Cayan

CC Avenue

Coin Payments

Before you begin preparing your CSV file it is recommended that you download open office and use that application to view and edit your CSV-spreadsheet. *Microsoft Excel is not recommended and may impact the reliability of your import process.

Common Question 1: How do I prevent Open Office from changing the first letter to lowercase in my CSV?

Select Tools > AutoCorrect Options and then the Options tab.

Near the top of the list, uncheck the [T] box next to "Capitalize first letter of every sentence".

Click OK at the bottom of the dialog to apply the change.

Common Question 2: When I open my file in a spreadsheet view?

First make sure that the end of your filename is .csv. If the end of your file is .txt, then change it to be .csv. Then use Open Office to open the document. It should open a pop up similar to the image below:

It is recommended that you create a starter template to work from. You can download the sample template here or generate your own using the 'Export' function in LightSpeed Point of Sale.

When opening the sample .CSV in Open Office, your initial screen should look the example below:

Essential Point

You should do a manual backup before performing any imports.

You can import Products, Suppliers, Customers, or Customer/Supplier Contacts.

You must rearrange your target fields to match your source data.

Some field values, such as those for Supplier, Class, and Family, must exist in LightSpeed Pro before those values are imported.

To import images, collect them as jpg files together in a folder and include their file name in the source data.

Multiple Customer Contacts can be imported within a single Customer card.

Existing Products and Customers can be updated by matching on a particular field and importing data into others.

Import Logs are files saved to your desktop and which indicate which data was not imported.

Introduction

As you transition from your previous system to LightSpeed Pro, or if you simply want to add a supplier’s pricelist to your database, Import Tools (Tools > Import Tools) provides you a simple way to import or update data into LightSpeed Pro in a batch, whether it’s Products, Suppliers, Customers, or Customer Contacts.

With Import Tools, you match your target fields (UPC, Description, Telephone, etc) with your source data (the original file) by dragging and dropping them into the correct order (see image).

Presets

nce you have matched fields, and have checked off which fields to import/update, you can save the order as a preset for future imports. Click Presets, enter the name of your field arrangement, and click Save. You may also export and import preset files to have your fields automatically arranged according to an imported Preset file. For example, you have an associate who has already matched fields for source data that you are also importing - you can swap preset files with them to save time. Click the Action menu in the pop-out Presets drawer, and select Import Preset to bring in a preset that had already been exported, or select a preset and choose Export Preset to export your preset.

To apply a preset, you must first open the source data file. Select the desired preset, and click Apply.

General Import Steps

In the main Import Tools window, select the button that corresponds with the data you wish to import: Products, Customers, Suppliers, or Contacts.

Then, in the window that appears, click the Open File button to locate the source file containing your original data. This file must be a tab-delimited text file or a comma-separated text file, and each line should represent a different record. It is recommended that you include the column headings in your file as they can be omitted when you do the import, but are useful for matching fields. To omit a record, click Omit This Record when it is displayed using the Browse slider. (see Step 4)

Using the window’s two-column layout, match target fields (in the second column) with your source data (in the first) by dragging and dropping them into the proper order. If you do not want to import data into a particular field, uncheck its checkbox. Use the Action Menu (gear icon) at the bottom to check or uncheck all fields.

If there is a down-pointing arrow in the first column (see Pre-Defined Values image), it is an indication that this field currently has a pre-defined set of values set up in LightSpeed Pro. Data being imported into these fields may be one of three types:

Values must pre-exist in LightSpeed Pro for import to work:
Class, Family, Tax Status, Supplier, Currency, Web Categories, POS Categories, User, Color, Size, GL Accounts...

For example, if you have “speakers” in your source data and you want to import it into LightSpeed Pro’s “Class” target field, the word “speakers” must already be in LightSpeed Pro’s list of Classes. (see Field Definition tables below for more info)

Values can pre-exist in LightSpeed Pro, but do not need to:
City, State/Province, Country

For example, if you have “Tucson” in your original data, it will be added to your Customer/Supplier record, but will not modify your list of pre-definied values in LightSpeed Pro.

Values that exist in a pre-defined value list in LightSpeed Pro:
Phone Types, Inventoried, Serialized, Editable Sell, etc.

In some cases, where the target field is a checkbox attribute within LightSpeed Pro (eg. Serialized), the original data must say “Yes” or “No” (without quotations), or you click the detail arrow to select one value - yes or no - to be imported into each record. Yes values will enable the attribute, No values will not. Note: The original data may use “1” or “0” (without quotations) rather than “Yes” or “No”, respectively.

Some fields use other pre-defined value lists that are already part of LightSpeed Pro, such as Phone Type, which has values such as Work or Fax.

If you click the down-pointing arrow, you can choose one of the pre-defined values to have one value auto-added into all the records you import. If you do not click the arrow, the various values from your source data will be imported into the target field of each imported record.

For example, if you are importing Billing Address Cities, you can either bring in a number of various cities in one import, or you can click the down-pointing arrow, and choose ONE pre-defined city to be imported into ALL the records you’re importing.

Using the Browse slider, skim through your original data to ensure it will be imported the way you expect. If there are any records you wish to omit from the import, use the Omit This Record checkbox when you are browsing the record you want to omit.

Once you have finished arranging your data, but before you click Import, you can click Presets to save this configuration for a future, similar import, so you do not have to manually re-match the same field order. (see Presets section above for more info)

Click Import to import your data. LightSpeed Pro will tell you how many records were imported, and how many were not. For a detailed list of which records were not imported and why, see the Import Log(s) saved to your desktop. (see Import Log below for more information)

In order to upgrade your LightSpeed web store to LightSpeed eCommerce 3.0, we will need a minimum of 2 weeks.

Please read the notes below:

1.We do not develop on your live site. We make a copy of your entire site in a sub-folder and do the upgrade to the copy. All customizations must be rebuilt and tested. So if Argoworks wrote custom scripts that allowed LightSpeed to do certain things 'outside the box', we will need to rewrite those scripts.

Once the site has been upgraded, we work with you to do a brand new update from your LightSpeed Point of Sale to the new 3.0 store. This pushes all the products and web categories back to the new LightSpeed 3.0 web store.

Your older live site is not modified at all and customers can still shop and place orders, while we are working on the new 3.0 site.

Important: Try to minimize updates to WordPress with new page content, images or blog posts during the upgrade process. This data may be lost during the upgrade process when we make the new 3.0 site live.

2. Once your products have been updated, you will need to fill out your ADMIN PANEL once again. This includes setting up your payment and shipping methods.

3. When we have both (Argoworks Creative and you) confirmed that the site is ready to go live and tested it, we remove your old site and replace it with your new one. This is typically done outside of normal business hours to ensure that the migration from the old site to new LightSpeed eCommerce 3.0 site is seamless and does not interrupt sales.

It is important to understand that all data and images on the web store come from your LightSpeed Point of Sale. If you have data or image issues that do not match what is in your LightSpeed Point of Sale, you will need to solve the problem by using LightSpeed Point of Sale.

Usually when a product is showing the incorrect image, you can delete the images from your LightSpeed Point of Sale, reload them and the update your store again. Sometimes this process does not always work. You try to correct the image or the data in LightSpeed Point of Sale and the web store does not fix the product when you click update store.

In order to resolve this situation, it is sometimes best to remove the product from the web store database and reload it.

In your web store admin panel you have a Database or DB section, there is a tab called: Product Lookup. For users running LightSpeed 3.1.7 or better, this will be found under the System tab. See below:

This displays all the products on your web store. Locate the product that you are having difficulty with and select the Product Code. Erase the Product Code and click the BLUE check mark. This will remove the product from your web store.

Once this is complete, locate the same product in your LightSpeed Point of Sale.

Open the product card and uncheck the Sell on LightSpeed Web Store button and SAVE.

Then re-check the Sell on LightSpeed Web Store button and also the checkbox that says: 're-upload photo for this product on next update' and SAVE again.

By unchecking and rechecking Sell on LightSpeed Web Store, you are simply telling LightSpeed to reload this entire product to the web store.

Then go to Tools > Ecommerce and update your web store. This will reload the product to your web store.

Products Overview

The Product card lets you set up an individual Product in your LightSpeed database, defining all of the properties that determine how the Product is treated throughout the system. The Product card is also where you "map" your Suppliers and their costs when you purchase the item, as well as track the Product's inventory trail, its levels, and the different statuses the Product can be in.

Accessible in the Product card but explained in other articles of the Help database are the Web tab, where all selection and categorization of Products to be sold on the Web Store is done, and the GL Tab, where you set the GL Accounts that are used.

Creating a Product

Creating a Product can be done in several ways. Clicking the Product icon in the LightSpeed Tool Bar will open a new, unsaved Product card, as will right-clicking the Product source in the Source List. Products can also be created directly from all Sales Documents (Quotes, Orders, SROs, and Invoices), or from a Purchase Order, by clicking the "+" icon at the far left. Importing Products using Import Tools can be done to create Products in a batch from a pre-defined tab-delimited file.

Deleting a Product

Authorized users can delete Products by clicking the Delete button inside the Product card, or by selecting the Product(s) in the Browser window and either pressing the Delete key on their keyboard, or clicking the Delete button at the bottom of the Browser. Note: You cannot delete a Product if it has been sold on an Invoice, or received on a Purchase Order, nor can you delete a Master Product.

Product Types

There are several types of Products in LightSpeed:

Inventoried - A Product that can physically be counted

Non-Inventoried - A Product that reflects a service, such as Shipping or Labor

Serialized - A Product that tracks unique serial numbers for each unit of inventory

Current - A Product that shows up in all searches, whether or not it has stock

Non-Current - A Product that only shows up in POS or Browser searches if it has stock

Master - A Product that represent a group of size-color combination Products, such as an article of clothing or a pair of shoes.

Child - A size-color combination Product tied to a Master.

Gift Card - A Product that employs LightSpeed's Gift Card process.

Account Entry - A Product that allows you to set a one-time opening balance for legacy Customers with outstanding balances.
